Managing Form Submissions and Approvals
We introduced a dedicated Submit Forms page on the Operational panel, designed to streamline the submission and approval process of forms used by workers. This system facilitates efficient tracking of submission statuses and ensures that all entries are reviewed and authorized appropriately.
To configure whether a form requires approval, follow these steps while editing the form:
- Access Form Options: Click on the "Options" tab within the form editor.
- Enable Required Approvals: Locate the toggle for "Required approvals" and switch it on.
- Select User Groups: Choose one or more user groups whose approval is required for the form. This setting ensures that only designated groups can approve form submissions.
For Workers: Submitting and Managing Forms
Access the Submit Forms Page: Workers can find this page on the Operational panel, designed specifically for submitting forms and tracking their status.
Creating a New Submission:
- Click "new submission" and select the desired form from the available templates.
- Fill out the form as required.
Saving Drafts:
- To save a form as a draft and finalize it later, click "save draft." Drafts are stored in the Drafts tab, accessible only to the creator until submission.
Submitting the Form:
- Once the form is complete, click "submit form."
- The form then moves to the Pending tab, indicating it is awaiting manager approval.
For Managers: Reviewing and Approving Submissions
Access Manager's Forms Page: Managers review submissions through the Forms page located on the Admin panel.
Managing Submissions:
- Click on a form to view all associated submissions.
- Select a pending submission to manage it. Here, managers can review the responses provided.
Approving or Rejecting Submissions:
- After reviewing a submission, a manager can approve or reject it. They can also provide comments to give feedback or explain the decision.
For Submitters: Tracking Submission Status
Viewing Submission Status:
- Workers can track their submission's approval status from the Pending tab initially, and later from either the Approved or Rejected sections based on the manager’s decision.
Reviewing Manager's Comments:
- To see any comments from the manager regarding an approval or rejection, the worker needs to click on their specific submission.
This structured approach to form submissions and approvals enhances operational efficiency by ensuring all necessary documentation is thoroughly reviewed and appropriately authorized. This system not only facilitates better communication between workers and managers but also ensures compliance and accuracy in data handling within the organization.
