Learn More about Shipments
The Shipments feature in Tracktile is designed to give you full control over your shipping operations. This guide will walk you through the user interface and provide insights on creating, managing, and tracking shipments with ease.
🗺 Navigating the Shipments Page
The Shipments page offers three tabs:
- Ready: Shipments prepared and ready to be sent.
- Shipped: Shipments that are currently in transit.
- Completed: Shipments that have been successfully delivered.
Each tab displays a table with columns for:
- Shipment ID: Unique identifier for the shipment.
- Due Date: Expected date for the shipment's completion.
- Price: Overall cost of the shipment.
- Shipping Order: Reference to the assigned items inside.
- Status: Current status of the shipment.
📝 Creating a New Shipment
Click "Create +": A form will appear for you to fill in.
Shipment ID: Enter a unique ID for the shipment.
Choose Customer: Select the customer receiving the shipment.
Status: By default, it's set to "Pending," but you can choose from other statuses like "On Hold," "Ready," "Invoiced," "Shipped," "Complete," and "Canceled."
Due Date and Currency: Fill in the expected due date and choose the currency for this transaction.
Choose Company Profile: Pick the profile that fits this specific shipment.
📋 Order and Transport Details
Order Details: You can either 'Create a New Order' or 'Assign an Existing Order.'
Transport Details: Select your transport provider from the list.
Notes (Optional): Add any additional comments or details for the shipment.
Click "Save Shipment" to proceed. A new "Add Attachment" option will appear, allowing you to upload any required documentation.
Assigning Items to Shipments
Once the shipment details are saved, you can proceed to assign items to your shipment by clicking the "Manage Items" button to start the process.
The assignment interface you encounter will vary depending on whether you've linked an order to your shipment:
- With a Linked Order: You'll be presented with a clear list of items assigned to that order, enabling you to assign matching codes directly. Additionally, you'll find other products listed separately for assignment. It's important to note that you're not restricted to assigning items from the order only; you can adjust the items and quantity based on your dynamic needs.
- Without a Linked Order: You'll have access to view and assign from all available products and packaged products in your inventory.
🌠 Additional Features
- Unbundled Items and Bundles Toggles: After saving, review your shipment items below. You can manage these items as needed.
- Get Documents: Access important shipping documents like Invoice, Bill of Landing, and Midland BOL directly from the platform.
Items Departing the Floor
Items officially leave your facility when you update the shipment status to either "shipped" or "complete." Prior to this change, assigned items will remain on the Floor, identified by their order and/or shipment chip.
This ensures a clear visual representation of which items are still physically present and which have been dispatched, aiding in inventory management and order fulfillment processes.
By tracking these changes visually, you can easily monitor the movement of items through your facility, from receipt to shipment.
